What Your Cancellation Data Can Tell You About Your Clinic

Reviewed by Chantel, COO ·

Short answer: Cancellation data shows when, why and for which services patients cancel. Define the report clearly (cancellations as a share of booked appointments, by notice period), then analyze by service, provider, day, lead time and reason. Clean data first, and turn each insight into a specific action, such as changing reminder timing or reviewing a policy.

Key takeaways

  • Define cancellation rate and notice periods consistently.
  • Analyze by service, provider, day, lead time and reason.
  • Fix data quality before drawing conclusions.
  • Link each insight to one action.

What can cancellation data tell you?

Patterns reveal process issues: cancellations clustering on Mondays may suggest reminder timing; high late cancellations for one service may reflect preparation confusion; repeated "schedule conflict" reasons may point to limited availability.

Without analysis, cancellations feel random and the response is usually a stricter policy.

How do you analyze it?

  • Cancellation rate = cancelled appointments ÷ booked appointments
  • Split by notice: same day, under 48 hours, more than 48 hours
  • Analyze by service, provider, day of week, booking lead time and reason
  • Check data: are reasons recorded consistently? Are reschedules counted separately?
  • Create an insight-to-action table

How does the cancellation analysis worksheet help?

Frequently asked questions

Should reschedules count as cancellations?

Report them separately. A reschedule keeps the patient; a cancellation may not.

What notice period counts as late?

Use the one in your cancellation policy, commonly 24 or 48 hours.

How often should we review cancellation data?

Monthly, with a deeper quarterly review.
