How to Track Lead Sources When Patients Contact You in Multiple Places

Reviewed by Chantel, COO ·

Short answer: When patients contact your clinic through several channels, record three fields for every inquiry: first known source, the channel they used to contact you, and how they say they heard about you. Then apply written attribution rules, such as "first known source wins", so every staff member records sources the same way and reports stay comparable.

Key takeaways

  • Record first source, contact channel and self-reported source.
  • Write attribution rules and apply them consistently.
  • Ask one standard question at the front desk.
  • Review source data monthly for gaps.

Why is lead source tracking difficult?

A patient might see an Instagram post, search Google, read a review and then call. If staff record only the last step, social and content efforts look ineffective. If they record whatever the patient mentions first, reports become inconsistent.

Clear rules don't make attribution perfect, but they make it consistent enough to guide decisions.

What rules should you use?

  • Save three fields: first known source, contact channel, self-reported source
  • Decide which field drives reporting, for example first known source
  • Use a fixed list of source options
  • If unknown, record "unknown" rather than guessing
  • Ask: "How did you first hear about us?"

How does the attribution rules template help?

The attribution template sets out the three fields, a worked example, the rules and the front-desk question. It helps marketing and front-desk teams speak the same language about results.

Frequently asked questions

Should we use first-touch or last-touch attribution?

Pick one for reporting and keep the other fields for context. Consistency matters more than the model.

What if patients can't remember how they found us?

Record "unknown". It's better than guessing and shows how much data is missing.

How often should source data be reviewed?

Monthly, alongside your campaign scorecard (Resource 078).
