How to Reconnect With Patients Who Never Completed Their Treatment Plan

Reviewed by Chantel, COO ·

Short answer: Before contacting patients with an incomplete treatment plan, review why the plan stopped: clinical reasons, cost, scheduling, or no follow-up. Exclude anyone with a clinical hold or unresolved concern. Then send a short message offering two specific times to continue, and record the outcome so the clinic can see why plans stall.

Key takeaways

  • Review each record before outreach; some plans pause for clinical reasons.
  • Confirm what remains in the plan and any prepaid balance.
  • Offer two appointment times to continue.
  • Track outcomes to find out why plans stop.

Why do treatment plans go unfinished?

Patients pause plans for many reasons: a busy season, cost, uncertainty about results, or simply because no one scheduled the next visit at checkout. Some pauses are clinically appropriate. Others are a process gap.

Unfinished plans affect patient outcomes and the clinic's revenue, especially when packages were prepaid.

How should you reconnect?

  • Pull patients with remaining sessions and no future booking
  • Review the chart with the clinician for any reason not to contact
  • Confirm what remains and any account balance
  • Send a message offering [day, time] or [day, time] to continue
  • Record: booked, declined, clinical review needed, no response

Keep the message focused on continuing the plan the clinician recommended. Avoid suggesting new treatments in the same message.

How does the incomplete-plan review tracker help?

The tracker includes a pre-outreach review, a script with two appointment options and outcome fields. It ensures every contact is appropriate and recorded.

Resource 016 is organized into these sections:

Frequently asked questions

Should we contact patients whose plan paused for clinical reasons?

Only if the clinician confirms it is appropriate. Otherwise leave them out of the outreach.

What if the patient has prepaid sessions?

Mention the remaining sessions accurately and confirm any expiry terms in writing. Resource 039 covers package tracking.

How soon should we follow up after a missed session?

Ideally within a week, while the plan is still fresh. Build this into the package completion workflow.
